Events - advice for organisers

It is important to notify the Public Protection Department (both the Food, Health and Safety and the Licensing teams) of your event at the earliest opportunity and provide us with a list of all the stallholders. We will then send a Guidance Note and a questionnaire to each stallholder.

The organiser should ensure that all regular caterers and their vehicles are registered with the Home Authority where the vehicle is kept.

It is advisable to make an appointment with your Case Officer for a site visit. It is also recommended that you discuss the event with the local police and fire authorities.

Toilet facilities

For events of short duration, the existing facilities on the site may be adequate but this should be discussed with your Case Officer.

For longer or very large events, you may require additional facilities. Your Case Officer will be able to advise you.

Water

There should be an adequate supply of water of drinking quality on site.

Electricity supply 

If mains electricity is not available, generators may be used. Care must be taken to ensure that these do not cause a noise nuisance. Cables and flexes should be fitted to avoid tripping hazards and electrical appliances should be protected from adverse weather conditions. All electrical work should be carried out by a competent electrician who is qualified to I.E.E. (Institute of Electrical Engineers) regulations standard.

Refuse

Sufficient containers for refuse must be provided. These containers should be lidded if possible and arrangements must be made for their collection and removal.
